JOB ANNOUNCEMENT: Operations Administrator


iACT is seeking an experienced and dynamic person based near Hermosa Beach, California to facilitate all internal operations, programmatic, and administrative functions of the organization.

Location and hours: This is a part-time role beginning at 20 hours per week. The position is based in Hermosa Beach, California. Candidates must be local and are expected to work in iACT’s office located on Pier Ave in Hermosa Beach, California.

Based in Los Angeles, iACT is an international organization demonstrating a new model of humanitarian action with a mission to inspire a more mindful humanitarian system. Our vision is a world where the dignity, humanity, and agency of conflict-affected people are recognized, affirmed, and supported. iACT works with people affected by conflict in using their agency and voice to co-create, facilitate, and expand early childhood education and soccer programs that meet the immediate and long-term needs of their community. Our US-based team is lean, currently consisting of 4 full-time individuals. Globally, we employ more than 250 people in Chad, Armenia, Central African Republic, Cameroon, and Mexico.

Operations Administrator

iACT is seeking an operations administrator to support the US staff and global refugee and conflict-affected team members and programs. This position will report to the executive director.


Experience & Attributes
  • Minimum of 3 years of experience in a position of similar complexity and responsibility in a non-profit setting.

  • A college degree is preferred. Work experience can substitute for some education.

  • The ideal candidate will handle complex situations and multiple responsibilities simultaneously, mixing long-term projects with the urgency of immediate demands and take appropriate action.

  • Demonstrated ability to manage details, solve problems, and follow through on assignments with minimal direct supervision.

  • A highly intelligent self-starter who shares the executive director's and the board's commitment to the iACT’s core mission.

  • Exceptionally well organized and detail oriented.

  • Preferred experience with Quickbooks.

  • Preferred basic accounting experience and knowledge.

Roles and Responsibilities

The operations administrator is responsible for accounts payable, payroll of US and global team members, grant report entry, supporting the organization’s Human Resources policies and procedures, creating organizational and program budgets in collaboration with the executive director, and other miscellaneous tasks.


The operations administrator will work closely with the executive director in what must be a strong, trusting, symbiotic relationship where the operations administrator and executive director are aligned. Among other duties, the OA will:

  • Oversee internal operations, programmatic, and administrative functions of the organization.

  • Provide a strong day-to-day leadership presence for all staff – both in CA, NY, and in countries globally, and create systems and effective processes to bridge global operations and improve communication and coordination among the different offices and program locations.

  • Assure that the annual budgeting process is conducted in the most effective and efficient way for the organization’s continual growth and assuring that the executive director has all the information they need related to budgeting, program fund allocation, fundraising and resource allocation.

  • Coordinate employee on-boarding, termination, and resignation in accordance with state and federal law.

  • Serve as point of contact and liaison for the external accounting team.

  • Support human resources policies and procedures.

  • Responsible for organizational paperwork including but not limited to state non-profit status, business license, workers compensation insurance & compliance with applicable state laws.

  • Serve as point of contact and liaison for annual financial review and audit.

NOTE: iACT paid staff is a small team with the expectation that everyone is willing to step in and contribute to any area as needed.


Compensation

Competitive for an international NGO and Los Angeles-based nonprofit, starting hourly wage of $26/hour at 20 hours a week.
